Privacy Policy

How Replium collects, uses, stores, shares, and protects data across our AI chatbot platform, website widgets, APIs, and messaging integrations.

1. Who We Are

Replium is a platform that helps businesses build, train, and deploy AI chatbots across websites, APIs, widgets, and messaging integrations. Replium is provided by Plovers from Mirpur - 10, Dhaka, Bangladesh.

For chatbot content and end-user conversations processed on behalf of business customers, Replium generally acts as a data processor. For account, billing, website, and direct customer support information, Replium generally acts as a data controller.

2. Information We Collect

Account and Business Information

  • Name, email address, phone number, company or organization name, and billing address.
  • Account credentials. Passwords are hashed and we do not store plain text passwords.
  • Google OAuth profile data if you choose to sign in with Google.
  • Payment transaction identifiers, subscription status, and billing history.

Chatbot Training Data

  • Documents, website pages, URLs, images, media files, prompts, custom instructions, and chatbot configuration settings.
  • Embeddings, vector indexes, and retrieval metadata generated to provide chatbot responses.

End-User Conversation Data

  • Messages, queries, conversation history, session identifiers, page URLs, and referral details.
  • Device and browser information, IP address, approximate location, and integration identifiers such as Facebook Messenger user IDs when a channel is connected.

3. How We Use Information

We do not use customer data or end-user conversation data to train general-purpose AI models for other customers.

  • Provide, operate, secure, and maintain the Services.
  • Train, configure, and run customer chatbots in response to end-user questions.
  • Generate embeddings and store vector indexes for retrieval-augmented generation.
  • Process payments, manage subscriptions, enforce quotas, and provide support.
  • Monitor usage, investigate abuse, improve performance, and develop new features.
  • Comply with legal obligations and maintain security audit logs.

4. Legal Basis for Processing

  • Performance of a contract, including providing the Services you requested.
  • Consent, where you have explicitly agreed, such as for optional marketing communications.
  • Legitimate interests, including security, fraud prevention, service improvement, and business operations.
  • Legal obligation, where processing is required by applicable law.

5. How We Share Information

We do not sell personal data. We share information only as needed to provide the Services, comply with law, protect rights and safety, or complete a business transfer.

  • Service providers such as hosting, infrastructure, vector database, AI model, file processing, email delivery, payment, analytics, and error-monitoring providers.
  • Business customers that operate the chatbot an end-user interacts with.
  • Third-party integrations, including Facebook Messenger, when enabled by a customer and authorized through that platform.
  • Government, legal, or regulatory authorities when required by valid legal process.

6. Facebook and Messenger Data

When a customer connects Facebook Messenger or related Meta products, Replium processes the permissions and data authorized by that customer and by Meta. This may include page identifiers, sender identifiers, message content, and delivery metadata needed to receive, route, and respond to messages.

We use Facebook and Messenger data only to provide the connected messaging functionality, support conversations, prevent abuse, and comply with platform requirements. We do not sell this data.

7. Data Retention

  • Account data is retained while your account is active and for a reasonable period afterward for legal, tax, dispute, and enforcement purposes.
  • Training data and chatbot content are retained until you delete the relevant chatbot, document, workspace, or account, unless a longer period is required by law.
  • Conversation data is retained according to plan settings and applicable requirements. Customers may request deletion of conversation history.
  • Payment records are retained as required by tax and accounting laws.

8. Data Security

No internet-based service can guarantee absolute security, but we use reasonable technical and organizational measures to protect your data.

  • HTTPS/TLS encryption for data in transit.
  • Encryption and access controls for sensitive data where appropriate.
  • Role-based access controls, audit logging, monitoring, and need-to-know restrictions.
  • Secure password hashing and operational security reviews.

9. Your Rights and Choices

  • Access, correct, delete, restrict, or request portability of personal data where applicable.
  • Object to certain processing or withdraw consent where processing is based on consent.
  • Control cookies through browser settings and available platform controls.
  • Request deletion of Facebook-related data through our data deletion instructions page.

10. International Data Transfers

Replium may process data in countries other than your country of residence. Where required, we use appropriate safeguards such as contractual commitments or equivalent legal mechanisms.

11. Children's Privacy

The Services are not intended for children under 13 or the minimum age required in your jurisdiction. We do not knowingly collect personal data from children. If you believe a child provided personal data, contact us so we can take appropriate action.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When material changes are made, we will notify users by email, in-product notice, or posting an updated policy. The effective date shows when this policy was last updated.
